§ 1. Who we are and what this covers
Unify School Softwares ("Unify", "we", "us") runs the website unifyschool.com and the Unify School platform: a school management system with a web ERP, a teacher app, and a parent and student app.
This policy covers two groups of people:
- Visitors to our website, including anyone who requests a demo or messages us.
- People whose information is handled inside the platform by their school, such as students, parents and guardians, teachers and staff.
§ 2. Our role: the school is in charge of its own data
The School Decides and Controls
When a school uses Unify, the school decides what information to collect and why. The school owns that information. Unify processes it only to run the platform for the school, on the school's instructions and under our agreement with the school.
What this means for you:
- If you are a parent, student or teacher and want to see, correct or delete information held in your school's Unify system, please ask your school first. We will help the school act on your request.
- For information collected through our own website (demo requests, messages to us), Unify decides how it is used, and this policy applies to us directly.
§ 3. What we collect
From visitors to our website
- Name, phone number, email, school name and any message you send when you request a demo or contact us.
- Messages you send us on WhatsApp.
- Usage information about how the site is used, such as pages viewed, device type, approximate location and clicks. We use Microsoft Clarity for this with form masking enabled.
Inside the platform, entered by the school
- Student records: name, class and section, admission details, attendance, marks, exams and report cards.
- Parent or guardian contact details.
- Fee records, payments and receipts.
- Staff details and attendance logs.
- Notices, circulars and homework that the school sends.
- Sign-in credentials for user accounts the school creates.
We only handle the information the school enters. We do not ask students for anything directly.
Where institutions configure online fee collection, transactions are processed by certified third-party payment gateways. We do not store credit card, debit card, netbanking, or UPI credentials; all payment transactions are handled directly and securely by the payment gateway.
§ 4. How we use information
- To run, support and secure the platform for schools.
- To respond to demo requests and enquiries.
- To fix problems and improve our website and product.
- To meet legal and statutory obligations.
Our Core Data Ethics
What we do not do: We do not sell personal data. We do not show advertising inside the platform. We do not track, profile or target students for marketing.
§ 5. Children's information
Most students on the platform are under 18. Their information is entered and controlled exclusively by their school. We do not contact students for marketing, we do not use their information for advertising, and we do not monitor their behaviour outside of what the school's own features (such as attendance, grading and homework) require.
Parents and guardians who have questions about their child's information should contact the school. You can also write to us as outlined in section 12.
§ 6. Who we share information with
- The school that the information belongs to.
- Service providers who help us run the platform: cloud hosting infrastructure (India region), WhatsApp Business API / SMS gateway providers, and certified payment processors. They may only use the information to provide their service to us and must keep it confidential.
- Authorities, when required by law or lawful judicial process.
- A successor, if our business is transferred, in which case this policy continues to apply.
§ 7. Where information is stored and how we protect it
Information is stored on secure cloud servers located in India.
We protect it with measures such as encrypted connections (HTTPS/TLS), user accounts with role-based access control, routine encrypted backups, and audit logs of system activity.
No system is perfectly secure. If we become aware of a security breach that affects a school's information, we will tell that school without undue delay (within 72 hours) and notify regulatory authorities where the law requires it.
§ 8. How long we keep information
- School data: kept while the school is our customer. After the agreement ends, the school can export its data for 30 days. After that we delete or anonymise it within 90 days, unless applicable law requires retention.
- Website enquiries: kept for 24 months, then securely deleted.
§ 9. Your rights
You can ask to see, correct or delete personal information about you, and you can raise a complaint about how it is handled:
- For platform data, contact your school. We will support the school in responding.
- For website data, write to us at info@unifyschool.com. We will reply within 7 business days.
If you are not satisfied with our response, you may approach the Data Protection Board of India once the relevant provisions apply under the Digital Personal Data Protection Act.
§ 10. Analytics and third-party links
We use Microsoft Clarity to understand how visitors use our website, for example which pages are useful. Clarity may record how you interact with pages. We turn on strict form masking (data-clarity-mask="True") so that typed phone numbers, names, or emails are never recorded.
Our site links to WhatsApp and other services. Those services have their own independent privacy policies and we do not control them.
§ 11. Changes to this policy
If we make important changes, we will update the date at the top of this page and, where appropriate, tell partner schools directly via their registered communication channel.
